I wrote most of this for a client proposal and I am re posting it here as a reference for myself and to use on future proposals. It is a list of EMAIL OPTIONS that should help SMEs make a decision. I added the last two options for this post.
EMAIL OPTIONS + Pros and Cons
- OPTION 1 – The 1st and most common option is to use GMail (or Outlook web or Yahoo or any free web based email) to download your company email, then install Gmail app on your phone and access it normally on your laptop.
- PRO – This way, incoming emails go directly to GMail where you can reply and send normally for free and it saves space on the server. It also makes use of GMail’s excellent anti spam and
- CON – The caveat is that if you email sensitive documents, these will go to employees personal GMail accounts and you cannot control if they delete it or not. Also, you are entrusting sensitive documents to Google, which although free comes with its own set of rules and regulations that may or may not comply with your idea of privacy.
- OPTION 2 – The 2nd option is to use the server’s default ‘Webmail’ option, which comes free with the annual hosting fee. You will access it via your phone’s browser and your laptop’s browser.
- PRO – The pro is that if you need to cut off an employee from access it is just a matter of deleting their account or changing their password. All emails correspondence remain within the company premises (your account).
- CON – The con is that an email account can take up a lot of space so for example, if you have 10 employees taking up 2gb each, it may cost you upwards of Php4698.25/year for storage. For most business people, 2gb is a very small amount of space and will fill that up within a month or two. This isn’t a really bad con tbh.
- OPTION 3 – The 3rd option is to use my Corporate Professional Email option. *
- PRO – I am a Qboxmail reseller. This is a World Class Email solution that is compliant with ISO Quality Certifications and 27001 standards. This is recommended towards companies working with multinational corporations for industry standard compliance or those looking for top level security and quality email solutions.
- CON – Pricier of course than Webmail, but more competitive than Google Workspace.
- OPTION 4 – I also resell Google Workspace.
- PRO – Google Workspace offers 4 plans and uses Google Meet, Calendar, Google Docs, Sheets, etc. All high standard online google office solutions, particularly Meet which is an excellent Zoom alternative.
- CON – Most users don’t really use all of the Google Office Suite solutions, so you may end up paying more for what you are using.
- OPTION 5 – Microsoft Outlook online (I do not resell this).
- PRO – Like Google Workspace, offers online MS Office etc.
- CON – I will never in good conscience recommend anything Microsoft.
- OPTION 6 – Proton Mail (I do not resell this).
- PRO – Supposedly the top most secure email option out there. I have no personal experience with this and I am going on reviews.
- CON – Super pricey.
* Highly recommended if your SME company is deadly serious about email.
